Mandate

Reporting to General Management, the incumbent is responsible for the logistical coordination of all Fondation Dynastie events. This person plays an essential role in the planning and implementation of events, ensuring their smooth running and contributing to the success of the Foundation's activities.

Key Responsibilities

  • Manage volunteer calling, recruitment, task planning, and coaching during events.
  • Contact and negotiate with suppliers for room rental, catering, service and any other logistical needs.
  • Oversee the technical logistics of the events, including the implementation of the necessary audiovisual and computer equipment.
  • Ensure the booking of conference rooms and event rooms, in coordination with the various departments of the foundation.
  • Develop logistical plans for each event, including venue layout, schedules and management of contingencies.
  • Serve as the primary point of contact for vendors and volunteers, ensuring clear and effective communication.
  • Be present at the event site to supervise the installation, conduct and dismantling, ensuring the prompt resolution of any logistical issues.
  • Write post-event reports detailing logistical aspects and proposing improvements for future editions.
  • Perform all other related tasks related to the logistics of the Foundation's internal events.

  • Coordinate with space managers to book and configure rooms based on specific event needs.
  • Prepare detailed logistics plans, including seating plans, set-up and tear-down schedules, and delivery routes.
  • Be the main point of contact on site during events, supervising volunteers and vendors, and handling unforeseen events.
  • Write logistical evaluation reports for each event, including successful aspects and areas for improvement.
  • Work closely with other departments to ensure smooth coordination of events.

  • Experience in logistics management, event organization or related field
  • Excellent organizational and time management skills
  • Ability to multitask and work under pressure
  • Excellent oral and written communication skills
  • Ability to negotiate and manage relationships with various suppliers
  • Volunteer management and team coordination skills
  • Proficiency in office tools and event management software
  • Bilingualism (French and English) desired
  • Autonomy, proactivity and attention to detail

Working conditions

  • Full-time: 35 hours/week
  • 3 days in person (Tuesdays and Thursdays) and a floating day (can be on weekends)
  • Weekly in-person or virtual follow-up with senior management 
  • Plan overtime according to the reality of the event
